Getting Started with Papalotl

Choose your storage mode and open your workspace.

Papalotl EDU is your digital co-teacher. Open Create Comment to select standards and prepare a draft. No Save keeps student work in memory for this session. Refreshing clears it. Device storage requires the encrypted vault. School account storage is available only when your deployment and district enable it.

Creating Your First Report Card Comment

From classroom identifier to a reviewed comment.

Enter an identifier such as S-014, choose the grade and reporting period, then find a subject, domain and individual standard. Choose the appropriate performance level. Add classroom evidence, fluency or an intervention if relevant. Generate a draft, edit it, mark it reviewed, then approve it. Each language needs its own review.

Using Student Identifiers Without PII

Use classroom-safe codes instead of names or SIS identifiers.

Use S-014, Student A or Room12-07. Do not enter a real student name, email address or SIS ID. Keep any connection between the code and a person in district-controlled systems. Format validation cannot determine whether all text is free of personal information. Check evidence, notes and imported fields yourself.

Selecting Standards

Find domains, strands and individual standards.

Select the grade, use the search box or open a subject and its domains. Search by standard code or keywords. Individual standards remain available within each skill. Only selected standards contribute to the draft. Selection limits and ranking help keep comments readable. Review the selected count and generated preview.

Performance Levels

Use your district's vocabulary for student progress.

The district profile controls the labels shown beside each level. A profile may use Exceeding, Meeting, Approaching and Below Standard, while another uses a different scale. Verify the profile before rating standards or importing gradebook marks. Do not assume a number or letter has the same meaning in every system.

AI-Generated Comments and Teacher Review

AI output starts as a draft and requires teacher judgment.

Generated language may need correction. Check classroom evidence, standards, tone, pronouns and factual accuracy. Papalotl does not make IEP eligibility decisions. School-focused strategies are the default. Review each language and ensure the final text reflects your observations before approving it.

Why the AI Disclaimer Appears

The required disclosure accompanies every generated comment.

Comments generated utilizing AI with final review made by the teacher. This disclosure is included automatically when presenting or copying generated text and in exports. It is stored separately from the editable body to avoid duplicates. Approved revisions retain the disclosure version used at finalization. The sentence is not a substitute for actually reviewing a draft.

Editing and Approving a Narrative

Draft → teacher reviewed → approved → exported.

Save edits in the review section. Mark the draft reviewed, then approve it. Reports exports the saved approved revision. Editing approved or exported text creates a new draft revision and preserves the prior final text. Changes to standards or language do not silently change an approved comment: generate and review a new revision.

Importing Data

Preview the CSV and confirm every field mapping.

Remove names, SIS IDs and other identity columns before choosing a CSV. Map a classroom identifier and grade. Check optional fluency and gradebook fields, their scale, rejected rows and duplicate identifiers. Unmapped columns are ignored. Confirm the preview before import. Papalotl does not guess ambiguous identity or score mappings.

Exporting Comments

Export the teacher-approved text with its identifier, term and disclosure.

Open Reports after approving a revision. Copy an approved comment, print a packet, or download CSV/XLSX where district policy permits. Templates are comment worksheets. They do not convert classroom codes into SIS IDs. Any district-required identity join belongs in district-controlled tools. PAUSD uses manual copy/paste and blocks Infinite Campus integration. Printing does not automatically upload to a SIS.

District Configuration

Confirm scales, limits and integration permissions.

The district profile defines performance terminology, character limits and permitted integrations. An unknown limit is shown as unconfirmed. Verify actual district policies with your administrator before transferring data. A district administrator can view authorized aggregate pilot insights but does not gain access to Papalotl's staff support or security inbox.

Troubleshooting Login Problems

Check the correct deployment, account and connection.

Open the deployment supplied by your school and use your work account. Confirm that the school enabled the authentication provider. If sign-in still fails, contact support with the route and error message, excluding tokens, credentials and student data. Keep your vault passphrase safe: support cannot recover encrypted device records without it.

Privacy Overview

Minimize identity information and control where work is saved.

Use pseudonymous classroom identifiers and review all free text for student information. No Save keeps student work in session memory. Encrypted device storage is opt-in. School sync uses a separate randomized alias and existing access controls. Optional pilot measurement contains operational metadata only and is off by default. Support forms send only what you enter and explicitly opt to attach. They do not attach your roster or narrative.

Security Overview

Report a security concern through the restricted form.

Use Report a Security Concern for a suspected vulnerability or privacy incident. Include the minimum technical steps needed to investigate, with no student information, secrets or credentials. Reports are routed to restricted privacy/security staff. Attachments are private and accessed through an authorized download. No response-time or bounty commitment is implied. Use the privacy contact form for questions about data handling.

Setting Up Your Classroom on the First Visit

Grade, school, district, bilingual reporting, labels and fluency norms, asked once.

The first time you open the workspace, after choosing where student information is kept, the app asks about your classroom. Grade level, school and district label your reports. Bilingual school adds a second Language Arts column under your teaching language. Report-card labels pick the four words your district prints. The fluency norm decides which published target a reading score is read against. Every answer can be changed later under Settings, Preferences. None of it identifies a student, and naming a school or district unlocks nothing.

Bilingual Schools and Spanish Language Arts

Score Language Arts in two languages without one overwriting the other.

Turn on Bilingual school in setup or Settings and choose the additional teaching language. A second column appears in the workspace, for example Spanish Language Arts, with the same reading and writing standards as the English column and its own scores. A rating in one language never changes the other. The column is the California English Language Arts framework taught in that language. It is not a separately adopted framework for the language, and the panel says so. The teaching language is not the language the report is written in. You choose that when you write.

Choosing Your Report Card's Performance Labels

Three label sets, one meaning, so a comment reads the same under any of them.

Districts print different words for the same four levels. One set reads Below Standard, Approaching, Meeting and Exceeding. Another reads Not Met, Nearly Met, Met and Exceeded. Another reads Growth, Developing, Proficient and Advanced. Pick the set your report card uses under District and report-card scale in Settings. The workspace legend, the scoring buttons and the exports all use it. Underneath, every set maps onto the same four levels, so the comment engine writes strengths for the top two and goals for the bottom two no matter which words your district prints.

Reading Fluency Norms and Percent Below Target

Which target a WCPM score is read against, and how the gap is worked out.

Fluency is recorded as words correct per minute, WCPM. Under Settings, Preferences you choose the benchmark source. Hasbrouck and Tindal 2017 norms give a target at the 50th or 75th percentile for each grade and season. DIBELS 8th Edition gives one benchmark goal per grade and season. Manual lets you enter your own fall, winter and spring targets. The season follows the reporting period. The percent below target is 100 times the target minus the score, divided by the target. Up to 10 percent below is approaching. More than 10 and up to 20 is below. More than 20 is significantly below. The comparison is made on the unrounded value and the comment, the chart and the profile all use the same one. When no published target exists for the grade or season, the app says so instead of guessing.

Paragraph Breaks and Comment Length

One paragraph per subject, kept through editing, approval, history and export.

A generated comment opens with reading, then gives writing, mathematics and any other subject its own paragraph, and closes with behavior and work habits. The breaks stay when you edit, review, approve, save a revision and export. Line breaks count toward the character limit, since the report-card system counts them too. When a comment runs over the limit, the counter says so and the comment is held for your review. Nothing is cut off on its own, and an approved comment is never changed by the app.

Trimesters and the Reporting Period

Switch between T1, T2 and T3 and keep each period's work separate.

The Reporting period control in the workspace chooses the trimester a comment belongs to. Each period keeps its own scores, drafts, reviews and approvals for a classroom identifier, so switching from Trimester 1 to Trimester 2 starts that period's record without touching the first. The period is written into saved revisions, the history and every export. The opening and closing of a comment follow the period, so an autumn comment never says to have a great summer.

Sharing With a Colleague and Requesting a School Pilot

A share link carries no records. A pilot starts with a conversation.

Share with a colleague copies a plain link to the app or opens a short email draft in your own mail program. The link carries nothing about your students, your scores or your comments, and nothing is sent from the app itself. A school or district pilot starts with the pilot request form. Tell us about your school and the reporting period you want to pilot, and a person answers. Prices for individual teacher levels are published on the pricing page, and a paid level is ordered on its order page by invoice or purchase order. No card is entered and nothing is charged until the invoice is approved. School pricing follows a signed data agreement.
